Handling of operational and administration processes is the basic service provided by our company. Since the beginning of our activity we have been placing particular emphasis on provision of high quality solutions ensuring fast and safe performance of orders. The modern system solutions and the high safety standards let us limit the risk of errors, check quality of data and automate processes, which has a significant influence on the time of transaction’s performance.
ProService AT maintains and secures a full data base covering data of products, participants, distributors and performed orders and instructions. The data and the procedure of its processing in our base undergo multilevel control processes and are systematically verified. Data safety is our priority, which we maintain both by advanced system solutions and restrictive internal procedures. The high quality of our data security mechanisms has been confirmed by independent auditors.
For years we have been cooperating with most distributors in Poland on the basis of implemented and proven operational procedures and data transmission paths. For the purposes of the distribution network we have created the Goniec application, which automates the process of accepting and transferring orders and also ensures better monitoring and safety of submitted data.
In the scope agreed with the Client we deliver sales reports to distributors, as well as commission reports and confirmations of completed transactions. We also provide a telephone line that supports the distributors in the field of handled operational matters.
On the basis of available solutions and instruments we offer a service of agency in distribution and handling of financial products in the scope agreed with our Client. Depending on the project’s scope our Clients may select an option of partial outsourcing of processes, adapted to specific business requirements.
ProService offers not only effective operational processes, but also actively supports post-sales activities of companies. We understand that good relations with the participants and access to completed and fast-available information on products are important to our Clients. We provide professional solutions oriented to communicating with the participants and favouring establishment of good relations with them.
We offer our Clients a professional service of a Call Centre, which may be addressed both to the participants and the distributors. We adapt the operational scope of dedicated telephone line to expectations of the Clients. We offer both information lines and transactional options.
To be able to monitor the effectiveness and quality of our services we have introduced an assessment system based on defined Benchmarks and specifying the expected level of service’s performance.
IVR, that is Interactive Voice Response, is an instrument making interactive telephone contact with the participant possible. The IVR system is adapted to specific requirements of the Client and is available twenty-four hours a day. After correct identification carried out by means of a tone dial phone the participant may obtain information for example on the current status of the investment and price of a participation unit or may place an order.
ProService AT has high quality equipment for automatic shipment of correspondence. We deliver confirmations of completed transactions in the name of our Clients to the participants. We also handle non-standard shipments and carry out marketing campaigns addressed to selected target groups.
The Client Service Point is located in the registered office of our company. The CSP employees, properly trained in the field of investment funds’ participation units distribution and Clients service, accept orders, complaints and instructions of retail clients through various distribution channels: telephone, fax, IVR, Internet or personally.
A dedicated team of specialists at our company ensures professional bookkeeping of the funds. The service covers among others systematic valuation of the portfolio of funds, that is the Net Current Assets and the value of investment certificates according to Regulations of the Funds, detailed procedures of valuation and the valid regulations, making current bookings on every business day and preparation of financial reports of the funds within deadlines specified by detailed regulations.
As part of service of products and distribution networks of our Clients we also offer service of all defined charges and settlements of pays. Our system makes it possible to flexibly shape the pricing policy for products and distributors, management of discounts and promotional campaigns. As part of the service we also deliver commission reports and accounting reports.
Because of our commitment to the distribution process and our broad knowledge on the Polish market some of our foreign Partners have decided to entrust us with the function of Funds representative on the territory of Poland. Our solutions enable us to effectively communicate with the participants and Polish institutions of financial supervision. This service also covers effective examination of participants’ complaints and reporting required by the supervision authorities.
The operating system has been created from scratch by specialists from our company and we have all copyrights to the software. This enables us to effectively and fast manage changes resulting from requirements of our Clients and to fully monitor the system's operation, maintaining high quality confirmed by external experts. We do not have to stick to the schedule and be hindered by restrictions imposed by external companies. The system and our support team are available twenty-four hours a day.
We have experience in delivering (planning, implementation and use) to complete bilateral exchange of data - for example with a distributor or payment agent and in electronic form. Our original solution based on the DDAT format (used for submission of information on complex orders) and SWAT (for submission of information on the status of insured accounts and orders to the distributor) is commonly used on the market.
We have developed a very convenient and effective tool for our Clients, which provides constant access to the data base. The data warehouse makes multi-criterion analysis of data and generation of both defined, automatic reports and ad-hoc reports possible. The data warehouse provides easy access to information for the purposes of sale, marketing and management information.

Transactional Internet Platform
Our Clients have a possibility to use an additional distribution channel, by using the service of the transactional Internet platform. ProService AT provides an Internet platform adapted to the requirements of the Client and in the graphic layout selected by him, which offers participants constant access to information on products and their investments and enables them to place orders and instructions. This is a convenient and well-tried solution, which our Clients often use and appreciate.
